Create posts and tasks

A post is something to publish: it has a format, a status, networks, a script, a caption and files. A task is work with a date — a shoot, a meeting — and has only a title, an owner, a day and notes.

Create

  • On a computer, click Create in the left bar and choose New post or New task. Or click an empty slot in the week to start a post right there.
  • On a phone, tap the + on the calendar and choose Post or Task.

Then fill in what you already know:

  • Title — what the post is. Tucan suggests the ones your team has used before.
  • Networks — Instagram, TikTok, YouTube, Facebook, LinkedIn, X, Threads or Kwai.
  • Format and status.
  • Pillar, if your team uses pillars.
  • Owner.
  • Day and time, at the bottom. It can stay at No time.
  • Script, Caption, Media and Comments, in the post's sections.

Finish with Create post (or Create task). Admins, strategists and producers create and change posts.

The formats you start with are Image, Reel, Carousel w/ text and Photo carousel. The statuses are Not started, Shooting, Editing, Finished, Scheduled and Published. You can change both under Workspace settings → Content.

Templates

So you don't start from scratch every time: right-click a post and choose Save as template. The template keeps the format, the platforms and the texts. In Settings → Content → Post templates, New post opens a post from it, on the next active day.

Repeat a post

Right-click a post and choose Repeat…: every week, every 2 weeks or every month, from 2 to 12 times. Each copy is a post of its own, with the same text, format and people, without the files or the comments. ⌘Z undoes all of them at once.

Delete and bring back

Use the trash icon at the top of the post (Delete). Right after, ⌘Z (Ctrl+Z on Windows) undoes it. The post waits 30 days under Workspace settings → History → See deleted posts, where you can Restore it; after that, it goes for good with its files. Admins and strategists delete and restore.

Find things

Search, at the top (or ⌘K / Ctrl+K), looks through posts, files, ideas and settings, typos included. The filters in the left bar split by type, format, status, review, owner and pillar.
